Admin quick guide
The whole flow: issue codes → get them to winners → winners register → verify → pay → mark paid.
1. Issue prize codes (Codes tab)
- Fill in the winner's name, prize and amount. Category, sponsor and group are optional — use group to batch codes by event (e.g. "Presentation Night").
- Click Generate code. Use Copy message for winner to get a ready-to-send email with their code and the claim link.
- Got a big list of winners? Use Import codes from CSV just below — download the template, fill in your spreadsheet (winner, prize, amount; leave the code column blank and one is generated for each winner), then import. It double-checks the whole file before creating anything.
- Codes are like passwords — send them individually, never in bulk or posted publicly.
2. Print cards
- Optionally filter by group, then click Print cards (PDF). You get one card per code (a zip if there's more than one).
- Printing (or copying the winner message) marks the code issued. Once printed, a code can't be edited or deleted — double-check names and amounts first.
3. Track progress (pills at the top)
- Pending — created but not yet printed/sent.
- Issued — printed/sent, waiting for the winner to register.
- Claimed — winner has registered payment details.
- Click a pill to jump to the matching filtered list.
4. Process claims (Claims tab)
- Check the winner's name matches the official results list.
- Click Mark verified — this generates the claim's unique 6-character payment reference.
- The card now shows Amount, Reference and the PayID/bank details, each with a Copy button. Copy each value straight into your banking app and make the transfer.
- Click Mark paid. Confirmation emails go to the winner and the admins automatically.
5. Chasing stragglers
- Claims pending for 7+ days get a red reminder due badge and a Send reminder button — it logs the reminder and opens a pre-filled email to the winner.
6. Records
- Export CSV downloads the claims (respecting the current status filter) for the treasurer's records, including the payment references.
7. Committee access (Admins tab)
- Add a member's Google account email to invite them — they get access when they sign in with Google on this page.
- Remove revokes access immediately and deletes their invite so they can't be re-added automatically.
Good to know
- Codes are valid for 12 months from issue; expired codes are rejected automatically.
- One claim per code — double registration is impossible.
- The site validates PayID/bank formats only. Identity check is you: always confirm the winner's name before paying.
- Winners use prizes.abcsa.org.au — nothing else for them to install or sign into.
